Your role at Looops
As an Operations & Project Manager specializing in products, materials, and suppliers, you’ll serve as a central hub for our product portfolio. You’ll ensure that materials arrive on time, that our supplier relationships run smoothly, and that new products and packaging initiatives are implemented in a structured manner.
You’ll work closely with management and product development, plan and coordinate tasks, keep an eye on timelines, and follow up when things start to go off track. At the same time, you’ll roll up your sleeves and get hands-on in your day-to-day work—managing order quantities and taking on smaller ad-hoc tasks.
What to expect
- You will manage our existing suppliers, keep everything running smoothly, and maintain clear, respectful communication—primarily in German, but also in English when necessary.
- You plan and organize reorders of production materials, keep track of minimum order quantities, delivery times, and inventory levels—and ensure that there are no shortages.
- You’ll obtain quotes and terms, clarify any outstanding issues—and serve as the point of contact if something goes wrong (complaints, quality issues, incorrect deliveries).
- When appropriate, you research and evaluate new suppliers: You gather information and samples, compare quotes, prepare recommendations for management—and then establish a reliable working relationship.
- You’ll oversee new products and limited editions—from initial planning through to launch—and keep track of timelines, to-do lists, and dependencies. You’ll proactively remind stakeholders of deadlines, prioritize tasks with them, and ensure that nothing falls through the cracks.
- You coordinate stakeholders such as management, product development, graphic design, production, and external partners—and ensure that everyone knows what needs to be done and by when.
- You’ll contribute to packaging projects—such as developing new carrier bag designs or making packaging adjustments—and coordinate with graphic designers. If you’re familiar with tools like InDesign, that’s a plus, but not a requirement.
- You’ll be working in Notion (project and task management), helping to shape our processes, and contributing to the practical refinement of our launch process.
- In Customer Service, you’ll take on a smaller but important role: you’ll assist with selected inquiries via email or phone—always communicating clearly, politely, and with a focus on finding solutions. However, the main focus of your role is clearly on purchasing, suppliers, and projects.
- You will manage our studio in Elixhausen: You will assist customers in person and process purchases—this in-person customer interaction is a small but integral part of your role.
- In the office, you’ll work behind the scenes to ensure that day-to-day operations run smoothly: you’ll handle mail, small errands, catering, and various internal activities and team events—though these aren’t the core focus of your role.
- This role is designed to grow with you: depending on your strengths, you can take on more responsibility in projects, in supplier relations, or in processes.
- You’ll have the opportunity to think things through, improve processes—and work with us to pioneer new approaches to product and operations.
What you bring
- A completed business apprenticeship or comparable background—your professional experience is more important to us than the specific degree you hold.
- At least 5 years of experience in an environment where organization, coordination, and accountability are integral parts of day-to-day work (e.g., operations, procurement, project coordination, product management, production).
- A strong grasp of numbers and a clear understanding of quantities, timing, and relationships.
- Excellent self-management and prioritization skills: You can handle multiple tasks simultaneously without losing track of the big picture—and reliably follow through on agreements.
- Structure, a process-oriented mindset, and a pragmatic, hands-on approach—you’re willing to tackle even small tasks if they help keep everything running smoothly.
- Digital tools come naturally to you; you’re experienced with various systems, enjoy using Notion or similar tools—and aren’t afraid to learn new applications. This role is ideal for people with a strong affinity for IT who can maintain a clear overview even when juggling multiple tasks simultaneously, work in a structured manner, and thrive in that environment.
- Native-level proficiency in German, as well as good written and spoken English skills, to confidently draft emails to international partners and conduct simple conversations.
- Clear, calm communication—especially when things get tight: You address timelines, bottlenecks, and outstanding issues transparently, while remaining objective and reliable.
- An appreciation for natural products, an interest in scent, design, and effectiveness—and a desire to identify with the Looops .
